Recruitment Follow-Up Emails: 3 Useful Examples
Write recruitment follow-up emails that reflect the last conversation. Use examples for reconnection, post-screening updates and delayed client feedback.

Three recruitment follow-up emails that give candidates a reason to reply
A useful recruitment follow-up email explains why you are contacting the person now, connects to relevant context and offers a clear next step. The message should reflect the relationship’s current stage, including what the candidate has already said and what your agency has promised.
Sending another email is easy. Deciding whether it is useful takes more care.
Before writing, check the latest conversation, any recent contact from a colleague and the action that was agreed. A polished message sent at the wrong moment can still damage the relationship.
Example one: reconnect when the reason is real
Use this when the candidate previously described a specific preference and you have a relevant reason to return. The names and situation below are illustrative.
Subject: A role with the customer strategy scope we discussed
Hi Morgan,
You mentioned that your next move would need to include ownership of customer strategy, rather than only account delivery. I’m working on a role with that responsibility and a small team to lead.
Is that still the direction you would consider? If so, I can send the scope and compensation range before we decide whether a call would be useful.
If your plans have changed, happy to update my notes.
Asha
The message gives the candidate enough information to choose a next step. It also invites a correction, which is useful even if the opportunity is not.
Do not use this level of familiarity without a record that supports it. If you have not spoken before, explain the relevance honestly.
Example two: confirm what happens after a screening call
Use this after a conversation when the next step depends on the candidate’s decision.
Subject: Role overview and next step
Hi Morgan,
Thanks for discussing the customer success role today. Attached is the overview we agreed I would send.
The point still to confirm is whether the travel requirement works for you. If you would like to explore it, reply with any questions and we can decide whether to arrange an introduction.
I’ll wait for your response before taking that step.
Asha
This closes a loop without assuming interest. Adapt the final sentence to the actual agreement; never promise a pause if your process will continue automatically.
Example three: provide an update when there is no decision
Silence from the client does not prevent the recruiter from communicating accurately.
Subject: Update on the customer success role
Hi Morgan,
I said I would update you today. The client has not yet confirmed its interview decision, so I don’t have a reliable answer to share.
I’m checking with them again tomorrow and will update you by Thursday, even if the position is unchanged.
Has anything changed with your availability or other conversations that you would like me to factor in?
Asha
Choose a date you can honour. This message works because it replaces an uncertain outcome with a clear communication commitment.
Define when a sequence should stop
Before using a sequence, decide which events require a pause or review. Examples include a reply, a request not to receive further contact, an active conversation with a colleague or a role closing.
Confirm how your software handles those events. Where the system does not enforce a rule, assign a person and a process. Do not assume every reply or preference is detected automatically.
Set a deliberate review point for unanswered messages. More attempts are not necessarily more helpful; a new message should have a reason beyond the previous one being ignored.
Measure whether the conversation became useful
Review replies by outcome: interest, changed circumstances, referral, request to stop or an unanswered question. A decline can improve the record and prevent future irrelevant outreach.

A common follow-up question
How many follow-ups should a recruiter send? There is no universal number that fits every relationship. Base the decision on relevance, prior agreement, timing, responses and recorded communication preferences. Stop when continued contact would be inappropriate.
